How a Quote Comes Together

Free Process Audit

One workflow is looked at in detail. It is free and there is no obligation to continue. The audit maps how the work is done today, where time is lost and what should stay with a person, and the findings are yours to keep.

Plain-language Requirements

Before we build, you sign off a plain-language summary of your requirements. It lists what the system will do, what it will not do and what stays with a person. It becomes the basis for the quote, so there is no confusion about what is included.

A Quote for That Scope

The quote covers the work in the requirements you signed off. Anything outside them is discussed and priced separately before work on it begins. That keeps the cost predictable and avoids surprises at the end of a project.

Design, Build and Deployment

The work to design, build and deploy the system described in your requirements, including the pre-flight audit, staged rollout and handover. It is priced once the scope is agreed and written down.

Optional

Managed Service

If you want us to keep running it: monitoring, incident handling, updates and a monthly report. It is optional and can be added after handover. The monthly report shows how the system performed and what was changed.

Paid directly

Your Cloud Account

You open and pay for the cloud account yourself; we never hold your cloud bill. Every charge comes directly from the provider, and spending limits can be set in the account itself. Infrastructure costs stay transparent and fully under your control.

Where the Costs Come From

Knowing which bucket a cost falls in makes quotes easier to compare, and shows which costs you control. Some are paid once, others every month, and each comes from a different place.

What Makes a Project Bigger or Smaller

Comparing Quotes

When comparing suppliers, check what is included: testing, documentation, training, support after go-live, and who pays for infrastructure and model usage. A lower build price with ongoing platform fees can cost more over two years than a higher one-off build on infrastructure you own.

Measuring the Return

Estimate the time a workflow takes today, how often it happens and what errors cost, then compare after go-live. Include softer gains honestly but separately: faster replies, fewer missed calls, less stress at month end. A small, well-chosen first project that pays back clearly is a better basis for the next decision than an ambitious one that is hard to measure.

Keeping Running Costs Predictable

Set usage limits with your AI provider and cloud host, turn on billing alerts, and review the bill monthly for the first months. Most small workflows cost little to run; the surprises come from unlimited usage or a loop nobody noticed.
